Job Title: Account Coordinator – Exports

Location: Houston, TX (Hybrid)
    
Estimated Duration: 6 Months

Job Dimensions

  • Primary Support: Each Account Coordinator (AC) is responsible for providing primary support to assigned Sales personnel.

  • Team Collaboration: In a team environment, each AC is assigned backup responsibilities for another AC during vacation coverage, sick leave, etc.


Key Responsibilities

  • Order Management:

    • Process orders in SAP, including availability checks, quota checks, credit checks, and removal of delivery blocks.

    • Generate delivery notes, batch selections, and invoices promptly.

    • Create picking tickets and bills of lading for warehouses/terminals not online.

    • Provide certificates of analysis and faxed invoices.

    • Process credit and debit memos and Proforma Invoices.

    • Review Commercial Invoices and all export documents for accuracy.

    • Ensure all work complies with SOX regulations.

  • Reporting & Auditing:

    • Run reports (e.g., Order Report, Delivery Report, Export Report for auditing “ZVUSEXPORTAUDIT,” STO report “ZVUSEXPORTAUDIT_STO,” MD04) to manage order shipment status and fulfillment.

    • Reconcile inventory at the end of each month and provide reports to Operations Accounting by the agreed-upon deadline.

  • Customer & Data Management:

    • Coordinate new customer setup with sales, logistics, and credit departments.

    • Maintain customer master data in SAP.

    • Develop a good working knowledge of the business.

    • Provide technical information (data sheets/MSDS) and coordinate technical assistance to existing and potential customers.

    • Work with pricing coordinators, credit representatives, freight forwarders, customers, and/or salespersons to reconcile invoice pricing discrepancies.

  • Compliance & Communication:

    • Ensure compliance with foreign and domestic laws and regulations, advising management of their impact on profitability and customer satisfaction.

    • Maintain effective communication with internal and external customers, including Sales Personnel, Management, Credit, Technical Service, Plant Shipping, Logistics, Demand Planning, Third-Party Warehouses/Distribution Centers, Pricing Coordinators, etc.

    • Maintain accurate customer files.

    • Follow up on some importations.

    • Provide complete, accurate, and timely feedback to all customers.

    • Perform miscellaneous job-related duties as assigned (e.g., attend staff, departmental, and/or replenishment team meetings).


Accountabilities

  • Balance customer demands with logistical, financial, and product limitations.

  • Communicate with internal customers and suppliers to ensure customer requirements are met in a timely manner.

  • Work well in a team environment; be a good team player.

  • Have sound, working knowledge of backup partner’s responsibilities to provide full & effective coverage during partner absences.


Qualifications & Experience

  • Education: Bachelor’s degree with emphasis in Business or Supply Chain.

  • Experience: 2+ years of experience in the industry.

  • Technical Skills:

    • Proficient in SAP and Microsoft Office applications.

    • Knowledge of related export and domestic laws and regulations.

  • Skills:

    • Ability to manage multiple tasks simultaneously.

    • Ability to conduct detailed analysis and provide recommendations.

    • Strong written and verbal communication skills.

    • Excellent customer service with strong interpersonal and organizational skills.

The pay range that the employer in good faith reasonably expects to pay for this position is between $28.00 and $30.00
