Job Title: Administrator
Location: Toronto, ON (Onsite)
Estimated Duration: Fulltime
Accountabilities:
- Provide administrative support to the legal department including document review and document production, calendar management, triage of incoming department inquiries, expense reimbursements via Concur, Workday system reporting, management of office operations and expenses, and acting as a first point of contact for C-suite executive assistants
- Prepare, review, and manage legal documents, attending to various securities filings and real estate searches, as well as reporting and document management matters
- Maintaining an efficient system of department files, including real estate legal files to facilitate review by business partners and external counsel
- Managing all department communication and other hardware devices, invoicing and acting as the primary liaison with the CTC IT and Facilities teams via the ServiceNow system, and other external hardware vendors and service providers as required
- Assisting with team member onboarding, process improvement identification, and implementation
- Organize lease files to facilitate real estate legal counsel’s review and assist real estate team for any other requests such as redacting lease documents for projects
- Submitting wire requisitions and assisting with the processing of legal invoices
- Conduct legal research and compile data as requested by legal team
- Ensure that all activities comply with legal standards and maintain the confidentiality of sensitive information
Qualifications
- Degree / Diploma, law clerk or relevant course work considered an asset
- Minimum 3-5 years of experience as an assistant, or similar role, preferably in a legal or corporate environment
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Strong interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with other technology including Teranet, SEDI (insider reporting), iManage (document management) and/or CorpLink is an asset but not required
- Ability to manage sensitive information with integrity and discretion
- Demonstrated ability to build trust and credibility at multiple corporate levels. Ability to respond and deliver in a flexible, timely and innovative manner.
- Ability to adapt to changing priorities and work under pressure
- Attention to detail and accuracy
- Critical thinking skills and ability to work independently
The pay range that the employer reasonably expects to pay for this position is between CA$65,000 and CA$80,000
