Job Title: Contract Conformance Specialist IV

Location: Middletown, PA or Houston, TX (Preference is for Middletown, PA)
Estimated Duration: 12 Months
 


Position Summary

The Contract Conformance Specialist IV (CCS) is responsible for ensuring day-to-day compliance with all executed contractual agreements across assigned capital and maintenance projects. This role manages contract-related documentation, facilitates communication between stakeholders, and supports the resolution of contractual issues to ensure obligations are met efficiently and accurately.

The CCS works cross-functionally with internal teams and external contractors to maintain alignment with contractual requirements throughout the project lifecycle.


Key Responsibilities

  • Ensure compliance with project execution and contracting strategies
  • Support preparation of contract documents, including scope, specifications, pricing, and special instructions
  • Assist in drafting technical contract language for assigned projects
  • Support contract negotiations during bidding and contract formation phases
  • Coordinate development of project-specific communication plans
  • Review contractor submissions for compliance and communicate deviations
  • Maintain contract documentation, logs, and correspondence records
  • Prepare and distribute formal communications with project team alignment
  • Manage the change order process, including tracking, evaluation, and approvals
  • Organize and document contract-related meetings, including agendas and minutes
  • Implement and maintain contract document control and retention systems
  • Review contractor invoices for compliance and track approval and payment processes
  • Collaborate with project teams and legal resources to resolve contractual issues
  • Track work releases and purchase orders for external service providers
  • Coordinate contract close-out activities and ensure proper documentation retention
  • Support internal and external compliance audits
  • Provide regular updates on project contract status and issues

Qualifications

  • Bachelor’s degree in engineering, construction, legal, business, or a related field, with a minimum of 4 years of relevant experience
    OR
  • Associate degree with 7–10 years of experience in contract administration, construction, engineering, or related fields
  • Experience with contract management in construction or energy-related projects preferred
  • Strong understanding of contract documentation, structure, and lifecycle

Work Environment

  • Primarily based in a field office environment
  • Approximately 15% travel within the assigned region

The pay range that the employer in good faith reasonably expects to pay for this position is between $45.00 and $49.00
