WHAT IS THE OPPORTUNITY?
Join Client's executive leadership team as Executive Assistant to the Group Head, Technology & Operations. In this pivotal role, you will provide comprehensive administrative and executive coordination support, enabling our Group Head to focus on strategic priorities while you manage the operational complexities of a fast-paced, high-impact environment. You'll be the trusted right-hand to a senior leader, orchestrating calendars, meetings, and initiatives that drive organizational transformation.
WHAT WILL YOU DO?
Executive Calendar & Meeting Management
- Serve as the primary point of contact for the Group Head, Technology & Operations
- Manage complex executive calendars, prioritize competing demands, and coordinate all meetings, conferences, and travel arrangements
- Organize recurring and ad-hoc meetings including executive leadership forums, strategic planning sessions, board presentations, townhalls, and one-on-ones with direct reports
Strategic Administrative Support
- Monitor and manage executive inbox; filter, prioritize, and delegate inquiries appropriately
- Prepare comprehensive meeting agendas, presentation materials, and briefing documents
- Follow up on action items and deliverables; coordinate with internal stakeholders and cross-functional teams
Stakeholder Collaboration & Coordination
- Collaborate with other executive assistants across the organization to align calendar management and plan cross-functional meetings and events
- Facilitate communication between the Group Head and internal/external stakeholders
Operational & Engagement Support
- Support employee engagement initiatives including team events, strategy sessions, coffee chats, focus groups, and connection opportunities
- Assist with executive communications, internal announcements, and leadership updates
- Organize business planning sessions, strategic reviews, and management team meetings
Continuous Improvement & Agility
- Demonstrate flexibility and adaptability in a rapidly evolving technology and operations environment
- Proactively identify and implement operational efficiencies and process improvements
- Leverage new tools, platforms, and digital capabilities to enhance productivity and support hybrid work models
WHAT DO YOU NEED TO SUCCEED?
MUST HAVE:
- 10+ years of executive administration or coordination experience supporting C-suite or senior-level management in complex, matrix organizations
- Proven experience supporting executives in technology, operations, or financial services environments
- Strong interpersonal and diplomacy skills with demonstrated ability to engage professionals across all organizational levels and external stakeholders
- Exceptional organizational and prioritization capabilities; ability to manage multiple competing demands in a fast-paced environment
- Ability to thrive in a collaborative environment and work effectively with minimal supervision
- Proficiency in adapting to change and navigating continuously shifting priorities and requirements
- Expert-level proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
- Strong calendar management and scheduling skills; experience managing complex executive calendars
- Excellent written and verbal communication skills
- High degree of discretion and ability to handle confidential information with professionalism
NICE-TO-HAVE:
- Experience supporting technology or operations executives
- Knowledge of Client policies and procedures (vacation/absence management, expense guidelines, travel policy, compliance requirements)
- Familiarity with Workday or similar enterprise systems
- Understanding of technology terminology and digital transformation concepts
- Experience in a regulated financial services environment

The pay range that the employer reasonably expects to pay for this position is between CA$80,000 and CA$120,000
