Summary

The Shop Services Coordinator is responsible for supporting Project Managers and Repair Specialists by coordinating, developing, researching, planning, proofing, editing, and delivering high-quality responses to commercial requests for proposals. This position works closely with internal departments to produce competitive proposal responses and provides project management support during the inquiry and execution phases of turbomachinery shop service projects.

Roles & Responsibilities

  • Foster an environment of teamwork, compliance, and continual improvement.
  • Adhere to company objectives related to Safety, Quality, Environmental, and Information Security.
  • Ensure compliance with departmental standard operating procedures.
  • Collaborate with Engineering, Operations, Procurement, and other internal departments to gather information required for accurate proposal development.
  • Manage customer communication through the salesperson, providing regular updates on inquiry acknowledgments, proposal status, and estimated proposal release dates.
  • Provide project management support throughout the inquiry-to-order phase of turbomachinery shop service projects.
  • Acknowledge receipt of customer inquiries.
  • Initiate the customer setup process.
  • Perform scope analysis and scope decomposition.
  • Develop project schedules.
  • Identify and ensure completion of bid requirements.
  • Coordinate deliverables from responsible departments.
  • Perform margin workups.
  • Prepare commercial proposals for management review.
  • Validate proposal submissions prior to release.
  • Support customer communication throughout the proposal process.
  • Acknowledge receipt of customer orders.
  • Ensure all project documentation is properly filed and maintained.
  • Verify that reviewer comments and edits have been incorporated into final proposal documents.
  • Maintain and update Project Manager databases.
  • Enter transactional data into SAP and Teamcenter.
  • Scan and archive completed job books and routers.
  • Enter repair data to support final project reports.
  • Assist Project Managers with project invoicing by gathering required documentation.
  • Perform other duties as assigned.

Requirements

  • 1–3 years of experience in a related field.
  • Experience with rotating equipment or a repair environment is a plus.
  • Strong communication and organizational skills.
  • Knowledge of compressors and turbines.
  • Experience using SAP.
  • Familiarity with ISO systems.
  • Ability to work effectively in a team environment.

Preferred Skills

  • Proficiency with Microsoft Office, including Word, Excel, PowerPoint, Access, and Outlook.
  • Excellent attention to detail and problem-solving skills.
  • Understanding of commercial terms and conditions.
  • Ability to work effectively with customers, engineers, sales, vendors, procurement, and cross-functional teams in a fast-paced environment.

Physical Demands

  • Ability to sit and work at a computer for the majority of the day.
  • Ability to lift files or boxes weighing up to 5 pounds.

Work Environment

  • Office environment.
  • Occasional visits to the production floor.

The pay range that the employer in good faith reasonably expects to pay for this position is between $29.00 and $40.00
