Document Control Analyst (Intermediate)

Position Overview
We are seeking an experienced Document Control Analyst to support project teams by managing engineering and project documentation throughout the project lifecycle. This individual will play a key role in ensuring project records are accurately maintained, properly organized, and compliant with document control standards from project initiation through closeout.
The ideal candidate is highly organized, detail-oriented, and experienced working with document management systems, SharePoint, and project documentation within engineering, construction, utility, or industrial environments.
Key Responsibilities

Develop, maintain, and execute project Information Management Plans.

Administer and maintain project SharePoint sites and document repositories.

Configure document metadata, folder structures, user permissions, and security settings.

Maintain document numbering, naming conventions, and version control.

Track document submissions, revisions, approvals, and distribution.

Develop and maintain transmittal logs, distribution matrices, and master document registers.

Coordinate with project managers, engineers, contractors, and field personnel to ensure timely document submissions.

Monitor project deliverables and identify missing or overdue documentation.

Manage confidential and sensitive project documentation in accordance with company policies.

Support records retention, project turnover, and closeout activities.

Maintain accurate documentation within project tracking systems.

Assist with additional project documentation and administrative tasks as needed.
Required Qualifications
-
Minimum of 3 years of document control, records management, or project documentation experience.

Experience working with SharePoint or similar document management systems.

Strong understanding of document control processes, version control, document numbering, and records management.

Experience maintaining document registers, transmittal logs, and project documentation.

Excellent organizational skills with exceptional attention to detail.

Strong communication and collaboration skills with the ability to work across multiple project teams.

Proficiency with Microsoft Office, including Excel, Outlook, and Word.
Preferred Qualifications
-
Experience supporting engineering, construction, utility, energy, infrastructure, or industrial projects.

Familiarity with Information Management Plans (IMP).

Experience with records retention and project closeout processes.

Knowledge of metadata management and document repository administration.

Exposure to Oracle, SQL, or other enterprise document management systems.

Post-secondary education in Business, Information Management, Engineering Technology, or a related field.

The pay range that the employer in good faith reasonably expects to pay for this position is between $25.00 and $30.00
