Position: Business Process and Automation Specialist
Location: Toronto, 3 days on site

Description of Assignment
A Client is seeking a highly skilled Business Process and Automation Consultant to support the team in streamlining and documenting business processes, building automations using existing tools (Jira, Office 365, VBA scripting), and driving efficiency improvements. This individual will play a key role in evaluating existing workflows, designing innovative solutions, and ensuring smooth transitions for process improvements.
A key focus of this role will be supporting the GRC (ProcessUnity) implementation project by developing VBA-based automation solutions to enhance data processing, reporting, and integration between Jira and ProcessUnity platforms. The consultant will design and implement VBA macros to optimize data workflows, reduce manual input, and improve accuracy in tracking and reporting security governance activities.
This assignment is critical to enhancing team productivity, reducing manual tasks, and enabling a culture of continuous improvement while fostering collaboration and information accessibility.
The Specialist will be working a hybrid work model but is subject to change, the Specialist is required to work in Toronto – minimum 3 days per week. The current hybrid work arrangement can change due to Client mandate and/or at discretion of Toronto Cyber Security’s Senior Management and may be required to report to work at specified location up to 5 days per week during the term of the contract. The successful candidate will be working seven (7) hours per day, five (5) days per week based on normal working Business Hours.
2. Assignment Duties
The Specialist will be responsible for the following:
1. Business Process Analysis and Improvement
- Evaluate existing processes and identify opportunities for improvement to enhance productivity.
- Lead process review and optimization initiatives to streamline workflows and ensure smooth transitions.
- Collaborate with team members and stakeholders to create or improve workflows that meet organizational needs.
2. Automation Development
- Design and implement automations using existing tools such as Jira and Office 365, and VBA scripting to streamline daily tasks.
- Create VBA macros and scripts to automate data manipulation, reporting, and integration between Jira application and GRC (Process Unity).
- Configure and maintain Process Unity workflows, forms, and role?based access controls in alignment with GRC and IRM requirements.
- Support integrations, data configuration, and reporting to enable effective risk assessment and compliance tracking.
- Participate in testing activities (QA/UAT), troubleshoot issues, and support- controlled releases to production.
3. Documentation, File Organization and Communication
- Document business processes, develop business requirements, and uncover areas for improvement.
- Organize shared files to ensure easy access, logical structure, and consistent categorization.
- Recommend and implement a standardized file naming convention to improve collaboration and document management.
- Coordinate preparation of presentations, updates, and reports for recurring planning activities.
- Share ideas, educate team members on new processes and tools, and gather feedback from stakeholders.
4. Stakeholder Coordination and Strategic Planning
- Act as a liaison between internal stakeholders to align business needs with solutions.
- Conduct meetings to gather insights and share findings.
- Prioritize initiatives based on business needs and strategic objectives.
5. Solution Implementation and Support
- Ensure solutions meet business needs and requirements.
- Facilitate training sessions or workshops for team members and stakeholders on updated processes and tools.
3. Experience and Qualifications
- Proven experience as a Business Analyst, Process Improvement Consultant, or similar role, with expertise in process documentation, workflow optimization, and automation solutions.
- Experience configuring and supporting Process Unity (or similar GRC SaaS platforms), including workflows, forms, role?based access controls, integrations/APIs, and authentication methods (SAML/SSO, 2FA).
- Strong understanding of GRC/IRM processes—such as risk assessments and compliance workflows—with the ability to support UAT, defect resolution, and production releases in regulated enterprise or public?sector environments.
- Hands-on experience with Jira, Office 365, and VBA scripting for automating tasks, data processing, and reporting within Office applications (Excel, Outlook, SharePoint).
- Strong organizational skills with the ability to manage multiple priorities and lead process improvement initiatives.
- Experience organizing shared file repositories, implementing file naming conventions, and applying file management best practices.
- Demonstrated ability to analyze complex challenges, design innovative solutions, and engage stakeholders effectively.
- Strong communication and interpersonal skills to collaborate across teams and present findings clearly.
- Certifications such as Certified Business Analysis Professional (CBAP), Lean Six Sigma, or equivalent are an asset.
The pay range that the employer reasonably expects to pay for this position is between CA$60.00 and CA$100.00
