Document Control Administrator
The Document Control Administrator is responsible for assisting with coordinating, producing, reviewing and distributing controlled technical documents and contractual documents for various groups and departments. This would be in support of a team of Project Managers and Engineers as they deliver projects from inception through to close out. The Document Control Administrator duties include
- Ensuring all project documents including technical and contractual are tracked and stored in the proper locations
- Support a variety of individuals in transmitting and receiving documents with external stakeholders
- Acquire in-depth knowledge of the software and provide expertise to team members
- Ensures timely processing of document review and approval
- Support change control activities, in terms of ensuring the proper standards and policies are followed
- follow established processes and make recommendations for improvements
- Participate in continuous improvement initiatives to gain efficiencies of the existing document control systems; and
- Route documents for approval to appropriate parties and ensure closeout
- Job Requirements
- Well-organized, fast learner and able to be flexible in delivery method as conditions warrant
- Knowledge of engineering and project document control methods and tools
- Strong interpersonal and organizational skills
- Excellent communication skills, both verbal and written
- Strong customer service focus
- Demonstrated initiative, creativity and integrity
- Excellent computer skills including SharePoint, Word, Excel, Outlook and PowerPoint
- Demonstrated ability to multi-task, prioritize and problem solve; and
- Good judgment and reasoning skills.
Location of Services
The Contractor will perform the Services at the EPCOR Hugh J. Bolton Service Centre, located at 12116 – 107 Street, Edmonton. The Contractor may work in accordance with EPCOR’s hybrid work program. EPCOR will provide the Contractor with a work space, computer, telephone, and access to a printer. Hours of work shall be 7:30am to 4:00pm daily, excluding weekends and statutory holidays. Overtime is not applicable.
Key Performance Indicators (KPIs) All KPIs as stated in the Master Professional Services Contract form part of the Project Request Contract, with the addition of the below
- Accuracy of information The accuracy of the information contained within documents is critical for any company. Document controllers should review reports on the completion rates for documents with accurate information and make sure that all errors have been corrected before submitting them to clients or customers.
- Timeliness in processing requests Document controllers need to be able to quickly turn around requests from customers or clients for changes, edits, or new updates within documents. This ensures all parties are on the same page when it comes to feedback on revisions and that deadlines are met.
- Overall user satisfaction Document controllers should track user satisfaction surveys as well as customer reviews regarding the quality and speed at which documents have been processed. This allows them to get an understanding of how their services are being received by customers so they can better tailor their processes for future improvements.
- Number of successful revisions over time It’s important for document controllers to track the number of successful revisions they have completed over a given period of time so they can identify areas where improvement may be needed or additional training may be beneficial in order to improve workflow efficiency and productivity.
- Cost savings achieved through document control Finally, measuring cost savings achieved through document control procedures – such as streamlining processes, reducing manual labor hours, cutting down on printing costs – allows document controllers to determine how valuable an asset they are to the organization. When used together, these key performance indicators provide insight into how document control departments are performing while also helping identify areas where further improvement may be needed. By tracking these metrics closely, document controllers can ensure their services remain efficient and cost-effective while also providing excellent customer service when handling requests from external stakeholders.
