**High-Level Description:**
Support the Supply Chain function by expediting and tracking all deliverables for assigned items, including equipment and materials required for Purchase Orders, Contracts, or Projects. Proactively manage and expedite items, utilizing stakeholder meetings, systems, templates, and processes to mitigate or identify potential risks. Build and maintain strong relationships with vendors and key client groups, including engineering, project team members, contractors, quality, and other SCM team members like Logistics.
**Specific Accountabilities:**
– Coach and mentor new hires, project team personnel, and new vendors on the current expediting process.
– Ensure on-time readiness and delivery of assigned equipment/materials in line with project and construction schedules.
– Manage all vendor equipment/material documentation and logistics between the vendor, Engineering (or Engineering Consultant), and internal Project teams to ensure prompt review and approval periods. Required documentation includes drawings, RFIs, Inspection Test Plans (ITP), Weld Procedure Specifications (WPS), and Final Vendor Data Requirements (VDR).
– Regularly review vendor fabrication schedules, Inspection and Test Plans (if applicable), Inspection Reports, and other pertinent vendor and PO data to mitigate any delays.
– Notify key stakeholders of potential or actual delays and work with suppliers to resolve issues.
– Administrate, schedule, chair, minute, and manage vendor supply meetings, and attend project meetings as required.
– Report on equipment/material status, progress, and receiving status using required reporting formats.
– Assist in reviewing and verifying invoices for accuracy as needed.
– Resolve freight claims, investigate quantity discrepancies, shipment errors, tagging issues, etc., with vendors and stakeholders.
– Communicate potential commercial and technical issues to Project team members and stakeholders.
– Coordinate logistics for the delivery of equipment/material to the site, ensuring readiness and proper equipment for off-loading.
– Follow standard processes to centralize expediting tasks and duties for assigned equipment/materials as directed by the team lead or Manager.
– Maintain updated electronic records for timely completion of PO/Contract closeouts by creating, organizing, and maintaining expediting files.
– Regularly consult and report with Team Lead and/or Manager on project, PO, or contract activities.
**Collaboration:**
– Work with Sr. Expeditors, Supervisor, and/or Team Manager for additional direction, guidance, and counsel. Supervisor and/or Manager will provide and change work assignments as needed.
– Provide regular updates, meetings, and support for vendors and internal/external clients, such as Engineering, Consultants, Contractors, Buyers, Project Team members, Commissioning, Construction Services, Quality Surveillance, and other SCM Team members like Logistics.
**Requirements:**
– 2-4 years of experience in a high-paced environment.
– Good working knowledge and experience with expediting best practices, logistics, purchasing, and project document requirements.
– Strong interpersonal skills with the ability to build and maintain strong working relationships.
– Equivalent combination of experience, training, and/or education.
– Coordination skills, ability to multi-task, follow up, and manage timelines.
– Ability to work on diverse projects with conflicting deadlines.
– Customer service, problem-solving, and organizational skills.
– Working knowledge of Engineering and Vendor Documentation.
– Strong communication skills and attention to detail.
**Preferred:**
– Knowledge of MS Windows/Outlook and Office Suite.
– Familiarity with SharePoint, Oracle Cloud, and Salesforce.
– Post-secondary education in a related field (e.g., Project Management, Purchasing/Supply Chain Management, B.Com, Finance, Business Admin).
The pay range that the employer in good faith reasonably expects to pay for this position is between $23.00 and $26.00
