Job Title: Facilities, Fleet, and Travel Program Specialist
Location: Calgary, AB (Onsite)
Estimated Duration: 6 Months
Job Description:
The role encompasses facilities operations, fleet and travel programs, and oversight of third-party office services vendors. It is a highly autonomous position that offers meaningful scope, visibility, and trust, and requires proactivity, clear communication, and the ability to manage complex systems end-to-end with minimal oversight.
Key Responsibilities:
Facilities & Office Services Ownership
- Execute day-to-day facilities operations across all company locations, including headquarters in Calgary, a primary office in Houston, and more than 20 additional sites across the network.
- Manage landlord relationships, service contracts, and office services vendors (cleaning, security, emergency repairs, parking, floor plans, generators, general maintenance, etc.).
- Independently manage preventive and corrective maintenance programs, escalating only when necessary.
- Ensure full compliance with health, safety, and environmental standards.
- Manage space planning, office moves, upgrades, and minor renovations with clear accountability for scope, budget, and timelines.
- Establish and maintain clear documentation, standards, and operating rhythms for facilities management.
Real Estate Operations
- Maintain and plan for 20+ leases, including renewals and terminations as needed.
- Partner with leadership and internal stakeholders to execute a dynamic real estate strategy.
- Support lease negotiations, site selection, and occupancy planning as required.
- Maintain accurate, decision-ready reporting for real estate assets and obligations.
Fleet Program
- Fully own the company’s 300+ vehicle fleet program, including vehicle lifecycle management.
- Effectively administer the third-party provider of fleet services.
- Ensure compliance with insurance, registration, safety, and regulatory requirements.
- Identify and implement cost, utilization, and performance improvements.
Corporate Travel Program
- Own the corporate travel program and manage relationships with the third-party travel agent, preferred vendors, and compliance requirements.
- Drive continuous improvement in cost management, traveler experience, and reporting.
- Provide leadership with clear insights and recommendations based on travel data.
Qualifications & Experience
- Bachelor’s degree in Business, Operations, or a related field.
- 7+ years of progressive experience in facilities, real estate operations, or corporate services.
- Demonstrated experience owning programs end-to-end—not just coordinating tasks.
- Proven ability to work independently, make decisions, and manage vendors with authority.
- Strong written and verbal communication skills, with a bias toward clarity, follow-through, and accountability.
- Comfortable operating in an environment with high accountability and limited direction.
