Fleet Administrator

Location: Quintana, TX (Onsite)
Duration: 6-Month Contract

We are seeking a detail-oriented Fleet Administrator to support fleet operations, asset management, and maintenance coordination. This position is responsible for tracking fleet assets, coordinating maintenance and repairs, managing compliance documentation, and supporting reporting and procurement activities.

The ideal candidate will have experience with fleet or asset management, strong organizational skills, and the ability to collaborate with multiple departments to ensure fleet assets remain operational, compliant, and cost-effective.

Responsibilities

  • Schedule and coordinate vehicle and equipment maintenance, repairs, inspections, and registrations

  • Track fleet utilization, operating costs, maintenance history, and asset records

  • Maintain accurate and auditable fleet documentation and records

  • Obtain vendor quotes for purchases, leases, rentals, and repair services

  • Coordinate with operations, maintenance, management, and vendors regarding fleet needs

  • Monitor compliance requirements and ensure timely completion of inspections and registrations

  • Support vehicle procurement, replacement, and asset disposal activities

  • Prepare reports, dashboards, and key performance indicators (KPIs)

  • Maintain asset databases and historical records

  • Assist with tracking budgets, expenditures, and operational costs related to fleet assets

Required Qualifications

  • Minimum of 3 years of experience in fleet administration, asset management, logistics coordination, or a related field

  • Experience coordinating maintenance, repairs, inspections, and registrations for vehicles or equipment

  • Strong organizational skills with exceptional attention to detail

  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint

  • Experience using SAP or a comparable ERP, asset management, or fleet management system

  • Strong written and verbal communication skills

  • Ability to manage multiple priorities and maintain accurate records

  • Valid driver's license

Preferred Qualifications

  • Associate degree or equivalent combination of education and experience

  • Experience in industrial, manufacturing, energy, construction, or similar operational environments

  • Experience with vendor management and procurement support

  • Knowledge of fleet compliance requirements and asset lifecycle management

  • Experience developing reports, metrics, and KPI tracking

  • Active TWIC card or ability to obtain one

The pay range that the employer in good faith reasonably expects to pay for this position is between $25.00 and $35.00
