Description of Assignment
Our Client in the public sector is implementing Microsoft 365 and SharePoint Online as an enterprise collaboration and information management platform. As part of this initiative, content currently stored in legacy file systems and repositories must be migrated to SharePoint Online to support standardized information architecture, improved accessibility, enhanced security, and compliance with corporate information governance requirements. This work supports the broader, organization wide rollout of SharePoint as the Client’s primary document management and collaboration solution.
 
The SharePoint Data Conversion Specialist will assist in the planning and lead in the execution of data migration activities from legacy file systems to SharePoint

Online as part of the Client’s enterprise SharePoint implementation. The Specialist will be responsible for assessing existing content structures, defining and applying data mapping and transformation rules, implementing metadata and retention requirements, and ensuring that migrated content aligns with approved SharePoint site designs, information architecture, and governance standards.

Duties
The SharePoint Data Conversion/Migration Specialist will be responsible for the following duties:  
•            Lead and execute data migration activities from legacy file systems, including Novell file systems, to SharePoint Online 
•            Plan, configure, and perform migrations using approved migration tools, including assessment of source content, permissions, and data quality 
•            Define and apply data mapping, transformation, metadata, and remediation rules to align migrated content with approved SharePoint information architecture, governance, security, and retention requirements 
•            Validate and reconcile migrated data to ensure accuracy, completeness, and integrity, and identify and resolve migration issues and risks 
•            Support administration and configuration of SharePoint Online environments related to migration, including libraries, metadata, content types, and permissions 
•            Assist with the organization wide rollout of SharePoint Online by coordinating migration activities across business areas and contributing to scalable, repeatable migration processes 
•            Provide migration related user support, including assisting business users transitioning from legacy file systems, responding to migration issues and service requests, and supporting knowledge transfer and documentation 
•            Support migration testing, user acceptance activities, status reporting, and maintenance of migration documentation and issue logs
• Deliver user support and targeted training to promote migration adoption and effective use of SharePoint
 
Qualifications
It is important that the Services be undertaken by a SharePoint Data Conversion and Migration Specialist who can demonstrate specific knowledge of, and experience in, performing similar work for projects of comparable size, complexity, and scope within an enterprise environment.
 
Education and Experience
•            University degree or college diploma in Computer Science, Information Technology, or a related discipline, or equivalent combination of education and experience
•            Demonstrated experience leading data migration and conversion initiatives from legacy file systems, including Novell file systems, to SharePoint Online
•            Proven experience planning and executing migrations using enterprise migration tools
•            Strong experience assessing source data structures, permissions, and data quality, and applying data mapping, transformation, and remediation rules
•            Hands-on experience administering and configuring SharePoint Online, including document libraries, metadata, content types, and permissions
•            Experience working within an organization-wide SharePoint implementation or rollout, supporting multiple business areas
•            Experience validating migrated data to ensure accuracy, completeness, integrity, and compliance with information governance requirements
•            Demonstrated experience supporting migration testing, user acceptance activities, and issue resolution
•            Experience providing migration-related user support and assisting business users transitioning from legacy file systems to SharePoint Online
•            Experience producing and maintaining migration documentation, issue logs, and status reports
 
Technical and Functional Skills
•            Strong knowledge of SharePoint Online architecture, information architecture principles, and governance practices
•            Strong working knowledge of SharePoint site administration, including: 
o Permissions and access management (users, groups, inheritance) o Site configuration, document libraries, and content structures
•            Working knowledge of data migration methodologies and best practices in an enterprise environment
•            Understanding of security, access controls, and retention considerations related to migrated content
•            Ability to contribute to scalable, repeatable migration processes and standards
 
Communication and Interpersonal Skills
•            Strong written and verbal communication skills
•            Demonstrated ability to work effectively with technical teams, business stakeholders, and information management resources
•            Ability to work independently while contributing effectively as part of a project team
 
Additional Assets
•            Experience supporting large-scale or multi-department SharePoint migrations
•            Experience working in a public sector or large enterprise environment

Deliverables
The SharePoint Data Conversion and Migration Specialist will deliver:
•            Successfully completed and validated migration of content from legacy file systems, including Novell file systems, to SharePoint Online
•            Migrated content that conforms to approved SharePoint information architecture, metadata standards, security, governance, and retention requirements
•            Documented data mapping, transformation, and remediation rules applied during migration activities
•            Migration validation results confirming data accuracy, completeness, and integrity
•            Configured SharePoint Online document libraries, metadata, content types, and permissions to support migrated content
•            Migration plans, schedules, and status updates supporting coordinated execution across business areas
•            Migration issue logs, risk tracking, and documented resolution outcomes • Support for migration testing and user acceptance activities, including remediation of identified issues
•            Delivery of migration related user support for business users transitioning from legacy file systems to SharePoint Online
•            Knowledge transfer materials and supporting documentation related to migration processes and migrated content
•            Final migration summaries and supporting documentation for completed migration phases or business areas, as requested
 

 

The pay range that the employer reasonably expects to pay for this position is between CA$95.00 and CA$110.00
