Position Overview
The Records & Information Management Specialist (QA/BA) is a net-new function that acts as the glue between ETS divisions—NOC, SOC, engineering, risk/GRC, and client onboarding.
This role is responsible for:

  • Designing and maintaining the framework and workflows for documentation, records, and configuration information.
  • Ensuring ETS is audit-ready at all times.
  • Owning where information lives, how it’s structured, and whether it is complete, current, and accessible.

You’ll work closely with managers and leaders across multiple teams, supporting both day-to-day operational needs and the onboarding of new client organizations.

Key Responsibilities
Documentation & Records Framework

  • Design, implement, and maintain the documentation and records framework (where documents live, how they are organized, naming conventions, retention, etc.).
  • Ensure all documentation related to configuration, access, audits, and client environments is consistent, version-controlled, and easy to locate.
  • Monitor for incorrect or inconsistent document storage; proactively engage with teams to correct and coach on the framework.

Audit & Compliance Readiness

  • Ensure that audit-related data and documentation are complete and accessible before audit cycles.
  • Work closely with the GRC / Risk team to maintain compliance evidence and artifacts.
  • Identify gaps in documentation or data quality and drive remediation activities.

Onboarding of New Clients

  • Serve as a key resource for onboarding 3–4+ new client companies per year, ensuring:
  • All incoming documentation (from outgoing MSPs or the client) is captured.
  • Configuration, access, and records are stored correctly in the agreed structure.
  • Provide a final “readiness check” at the end of onboarding:
  • Confirming that required documentation, records, and configuration details are all present and in the right place. Cross-Team Collaboration
  • Work closely with:
  • NOC Manager, SOC/operations leads, engineering leads, and risk/GRC.
  • Professional services / project teams where documentation and record-keeping are required.
  • Act as a central point of accountability for “what’s in the pipes” – the flow of documentation and records between teams. Quality Assurance & Business Analysis
  • Apply QA principles to process, data, and documentation quality, not software testing.
  • Support the evolution of documentation and record-keeping workflows:
  • Gather input from stakeholders.
  • Identify pain points (e.g., missing docs, unclear ownership).
  • Propose and help implement process improvements.
    Required Qualifications
  • Education
  • Post-secondary diploma or degree in Business Administration, Business Information Technology, or a closely related field.
  • Experience
  • 3+ years in a role involving documentation, records management, quality assurance, or business analysis in a technical or process-heavy environment.
  • Experience working with document management systems or structured repositories (e.g., DMS, SharePoint, ERP, or other line-of-business platforms).
  • Demonstrated experience working across multiple teams or departments to maintain shared information, records, or workflow.
  • Skills & Knowledge
  • Strong understanding of frameworks and workflows (how information flows, who owns what, how it’s maintained).
  • Comfortable navigating technical environments and terminology (e.g., onboarding technical systems, software launches, or tools like SAP, O365, or similar).
  • Excellent attention to detail, organization, and follow-through.
  • Highly proactive communicator, able to influence without authority and build trust with managers and peers.
    Nice-to-Have Qualifications
  • Experience in a Managed Service Provider (MSP), IT services, or similarly complex multi-client environment. 
  • Exposure to audit, GRC, or compliance frameworks.
  • Experience designing or improving document control processes in regulated or semi-regulated environments.
  • Background in the military, aviation, or other highly structured record-keeping environments is an asset.
