Senior Project Coordinator – Fleet Operations

Location: Houston, TX or Charleston, VA (Hybrid)

Estimated Duration: 6 Months
 

Position Overview

We are seeking a highly organized and customer-focused Senior Project Coordinator to support large-scale fleet operations involving a high-volume vehicle and equipment program. This role is responsible for coordinating day-to-day operational activities, maintaining accurate data, supporting compliance requirements, and ensuring efficient fleet utilization across multiple stakeholders.

The ideal candidate is detail-oriented, highly communicative, and experienced in managing complex administrative workflows in a fast-paced operational environment. This role requires strong coordination skills, the ability to manage competing priorities, and a proactive approach to problem-solving and process improvement.


Key Responsibilities

  • Maintain accurate vehicle assignment and cost allocation data within fleet management systems
  • Process requisitions, invoices, and receipts related to fleet operations and equipment costs
  • Coordinate vehicle assignments, usage schedules, maintenance requests, and service needs
  • Support onboarding and communication for drivers and operational stakeholders regarding policies and procedures
  • Assist with vehicle ordering, configuration (upfitting), and disposal processes
  • Act as a coordination point between internal teams, drivers, and external fleet vendors to resolve operational issues
  • Monitor fleet data to identify trends, inefficiencies, and optimization opportunities
  • Prepare and distribute operational reports and performance summaries to stakeholders
  • Support compliance with applicable regulations, including transportation and safety requirements
  • Contribute to process improvement initiatives to enhance operational efficiency and data accuracy
  • Assist with forecasting and planning for vehicle demand and replacement cycles

Minimum Qualifications

  • 6+ years of experience in administrative, coordination, or operational support roles
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • Strong problem-solving and critical thinking abilities
  • Experience working with data entry, tracking systems, or operational databases
  • Proficiency in Microsoft Office Suite (especially Excel, Word, and Outlook)
  • Ability to work effectively with cross-functional teams, vendors, and operational stakeholders

Preferred Qualifications

  • Experience in fleet management, logistics, transportation, or asset coordination
  • Familiarity with regulatory environments such as transportation safety or compliance standards
  • Experience working with ERP systems or fleet management software
  • Ability to analyze operational data and generate reports or insights
  • Experience supporting process improvement or operational efficiency initiatives
  • Associate degree in Business, Administration, Accounting, or related field

The pay range that the employer in good faith reasonably expects to pay for this position is between $35.00 and $40.00
