 Storage Administrative Assistant 

Summary:
The Storage Administrative Assistant supports storage projects from the request for quotation (RFQ) through final invoicing.

Roles and Responsibilities:

  • Collaborate closely with the sales team to develop commercial proposals and support project management throughout the inquiry-to-billing phases for stored equipment.

Key Duties:

  • Proposal Development:

    • Confirm receipt of customer inquiries and manage proposal creation, including cost and margin analysis.
    • Draft commercial proposals, communicate with customers, and manage project documentation.
  • Order Processing:

    • Confirm new orders, manage commercial documents, and complete order entry in SAP.
  • Project Execution:

    • Complete project handovers, coordinate purchase requisitions and orders, and plan storage project execution.
  • Project Closure:

    • Process and submit customer invoices as per purchase orders, address client inquiries about storage services, rates, and availability.
  • Provide ongoing client support post-sales and ensure customer satisfaction in all commercial and project-related matters.

  • Attend weekly production meetings, manage financial functions, monthly closing, invoicing, and collections, and interface with Accounting.

  • Oversee cost control, performance analysis, commercial reporting, margin reviews, and monthly/quarterly reporting.

  • Manage accurate recordkeeping for stored items, maintain storage tracker for visibility and availability, and contribute to department KPIs.

Requirements:

  • Highly organized, self-motivated, and able to work independently.
  • Strong verbal and written communication skills, active listening, and structured problem-solving.
  • Professional demeanor with the ability to represent the company ethically.
  • Experience with MS Dynamics, Smartsheets, SAP, and a thorough understanding of commercial terms.

Preferred Skills:

  • Business operations and commercial awareness.
  • Proficiency in MS Office, with the ability to work effectively with internal teams, sales, and vendors in a fast-paced setting.
