Vendor Surveillance Coordinator

We are seeking a Vendor Surveillance Coordinator responsible for coordinating and communicating with key stakeholders while supporting multiple project programs. This role serves as a liaison between vendors, inspection teams, engineering, and construction to ensure compliance, quality, and timely execution.
The successful candidate will demonstrate strong partnership, teamwork, communication, and organizational skills, with the ability to prioritize and manage numerous complex processes simultaneously with minimal supervision.
Key Responsibilities

Monitor vendors to ensure compliance with company policies and project requirements

Attend coordination meetings and collaborate with cross-functional stakeholders

Ensure vendors meet all applicable regulatory and source inspection requirements

Review vendor Inspection Test Plans (ITPs) to confirm alignment with project specifications and coordinate with discipline engineering as needed

Distribute finalized document packages to inspection teams

Coordinate inspection-related RFIs and NCRs, determining appropriate resolution paths based on risk

Review inspection reports and turnover packages (e.g., MTRs), escalating issues as required

Support development of inspection checklists and standard technical requirements

Contribute to continuous improvement initiatives by identifying trends in real time

Monitor KPIs and support supplier performance management (manufacturing and inspection agencies)

Track and generate required reports, including test packages

Perform other related duties as assigned
Minimum Qualifications
-
High School Diploma or equivalent
-
2–4+ years of experience in business analysis, vendor surveillance, project coordination, and/or construction management

Strong customer service and business relationship management experience

Knowledge of inspection practices, pipeline and facility construction, shop surveillance, manufacturing processes, and equipment
-
Exposure to field, operational, or construction environments preferred

Strong analytical, problem-solving, and decision-making skills
-
Intermediate to advanced proficiency in Microsoft Project and MS Office applications, particularly Excel and PowerPoint

Comfortable presenting and speaking in group settings
-
Military service may substitute for industry experience (relevant MOS)
Preferred Qualifications
-
Associate’s degree in Engineering (Mechanical, Electrical, Civil, or related field)

API 510 certification
-
Construction Management or related field of study
-
Experience reviewing inspection test plans, welding procedures, and quality documentation

Working knowledge of industry standards such as ASME, ASTM, and ISO 9001
Travel Requirements
This position requires travel to company locations for temporary assignments, meetings, or training, which may include overnight stays.
The pay range that the employer in good faith reasonably expects to pay for this position is between $30.00 and $39.00
