Job Title: Sr. Contract Administrator

Location: North York, ON (Hybrid)

Estimated Duration: 12 Months

Role Summary
A senior-level contract administration professional is required to deliver end-to-end commercial and contractual support across complex capital and construction-related initiatives. The position provides advisory, coordination, and documentation oversight services tied to assigned programs and work packages. All billable time must be attributable to clearly assigned tasks and deliverables.

Reporting & Interfaces
This role reports to a senior commercial lead and works closely with multidisciplinary project teams, technical specialists, and external service providers as needed. Work will primarily focus on post-award contract administration within a construction or infrastructure delivery environment.


Key Responsibilities

  • Coordinate post-award commercial and contract administration activities across assigned projects or workstreams.

  • Interpret and apply contractual requirements and documentation to ensure alignment with overall commercial strategy and consistent application of terms and conditions.

  • Participate in kickoff sessions and periodic progress reviews to confirm stakeholder understanding of contractual obligations and maintain alignment.

  • Support enforcement of contractual provisions, including assisting with negotiations, dispute resolution, and application of remedies such as damages or other contractual measures.

  • Elevate complex or sensitive commercial matters to senior leadership for direction and resolution.

  • Maintain accurate and complete contract records (e.g., change documentation, payment certificates, notices, amendments, correspondence, and claims files) within the designated contract management system.

  • Track contract performance and progress; prepare status updates and reporting for leadership and project teams.

  • Assess and analyze change requests, amendments, and claims; implement strategies to mitigate risk and avoid disputes.

  • Administer payment processes in accordance with contract terms, including invoice validation, holdback management, final payment processing, and assessment of applicable adjustments or set-offs.

  • Develop cost estimates for labor, materials, and equipment; review schedules and production data to evaluate pricing submissions and change proposals.

  • Monitor contingency and allowance usage and coordinate adjustments where appropriate.

  • Lead or support negotiations to achieve acceptable commercial outcomes on changes, claims, and final quantities for unit-price arrangements.

  • Prepare and process procurement-related documentation, including quote requests, directives, amendments, and internal approval materials.

  • Contribute to supplier performance evaluations and participate in review meetings where performance concerns arise.

  • Complete documentation and administrative activities required for contract close-out.

  • Support preparation of commercial content for solicitations and agreements (e.g., requests for proposals, bids, services, information, pre-qualifications, and negotiated procurements), including drafting special commercial conditions.

  • Undertake additional commercial management activities as assigned within the department’s scope.

  • Monitor and support achievement of defined performance indicators and service targets.

  • Avoid assignments that may present a conflict of interest with other active engagements.


Qualifications & Experience

Skills & Knowledge

  • High attention to detail and ability to deliver accurate contract administration with minimal supervision.

  • Ability to interpret construction drawings and perform quantity take-offs and cost estimating across multiple trade disciplines.

  • Demonstrated experience in construction contract administration, including changes, scheduling considerations, delay analysis, and claims management.

  • Minimum of three (3) years of relevant experience in contract administration, commercial management, or procurement within a construction, infrastructure, or related environment.

  • Strong judgment, organization, and problem-solving capability with effective verbal and written communication skills.

  • Ability to coordinate stakeholders and facilitate alignment across teams.

  • Well-developed analytical and negotiation skills, including planning and leading complex commercial discussions.

  • Proficiency with standard office software and contract management tools.

  • Working knowledge of engineered systems, construction services, and related technical considerations.

  • Understanding of applicable construction legislation and industry practices.

  • Familiarity with construction methods, codes, regulations, and trade or labor agreements.

  • Ability to manage multiple priorities and deadlines effectively.

  • Comprehensive understanding of modern construction and contract management principles, including claims avoidance and resolution techniques.

The pay range that the employer reasonably expects to pay for this position is between CA$70.00 and CA$90.00
