Job Title: Document Control Specialist / Records Management Analyst IV

Location: Edmonton, AB / Superior, WI / Duluth, MN
Work Model: Hybrid (Monday, Tuesday, Thursday onsite; Wednesday and Friday remote)

Position Overview

We are seeking a highly organized and detail-oriented Document Control Specialist / Records Management Analyst IV to support drawing control and records management activities within a large-scale engineering and operations environment. This role is responsible for ensuring engineering drawings and process safety information are accurate, accessible, and maintained in accordance with established document control procedures and system requirements.

The ideal candidate will have experience working within engineering, construction, or industrial environments and possess strong technical knowledge of drawing management systems, document controls, and records management best practices.

Key Responsibilities

• Provide drawing control support to internal and external stakeholders, including navigation, access management, and training within the drawing management system
• Resolve broken hybrid drawings by identifying and correcting CAD x-reference issues to restore full functionality and visibility within Meridian
• Regenerate and publish updated PDF renditions aligned with approved master drawings to ensure users have access to current documentation
• Identify and resolve legacy drawing discrepancies between master drawings, renditions, and metadata to improve data integrity and system reliability
• Support as-built consolidation and publishing efforts by coordinating approved updates and ensuring final drawings are available prior to project turnover
• Coordinate and fulfill drawing requests through BIM JIRA and Service Request tools
• Support major capital projects and perform drawing control reviews to ensure compliance with drawing system requirements and standards
• Track project review and turnover status throughout project lifecycles, including design, IFC, and as-built stages
• Provide guidance to project teams and external partners regarding workspace creation, project folders, and drawing management procedures
• Assist with the development and delivery of training for internal users, vendors, engineering firms, and drafting service providers
• Support KPI reporting, process improvements, and the development of standard reports related to drawing system performance and user requirements
• Contribute to the creation and maintenance of work processes, procedures, training materials, and documentation standards

Qualifications

Required Qualifications

• University degree, technical diploma, or equivalent combination of technical training and drawing control experience
• 2–4 years of experience in document control, records management, or drawing management within engineering, construction, or industrial environments
• Post-secondary education or training in records management, business analysis, project management, or data analysis
• Knowledge of engineering drawing control processes and process safety information management
• Strong organizational, analytical, and problem-solving skills
• Excellent written and verbal communication abilities
• Ability to work independently with minimal supervision while managing multiple priorities
• Strong customer service orientation and stakeholder management skills
• Basic functional knowledge of drawing management systems and document control workflows
• Working knowledge of EDMSLink, BIM-JIRA, Microsoft Access, and Microsoft Excel

Preferred Qualifications

• Basic drafting skills and drafting experience
• Experience with SharePoint 2013 and Bluebeam
• Familiarity with engineering, operations, maintenance, or project execution environments

Working Relationships

This role works closely with Asset Information Management (AIM) teams, engineering groups, project teams, vendors, drafting service providers, operations personnel, and maintenance teams to support operational alignment, project execution, and compliance with drawing control standards and procedures.

The pay range that the employer in good faith reasonably expects to pay for this position is between $33.00 and $37.00
