Job Title: Fleet Coordinator

Location: Houston, TX (Hybrid)
    
Estimated Duration: 6 Months

Overview:
Our client is seeking a proactive, highly organized Vehicle Fleet Coordinator to support and optimize operations for a fleet of over 2,500 vehicles and mobile equipment. This role will be integral to managing fleet assignments, cost tracking, maintenance coordination, and ensuring compliance with DOT and other regulatory requirements. The successful candidate will provide customer-focused service to field personnel and internal stakeholders across multiple U.S. operations.

Key Responsibilities:

  • Maintain accurate vehicle assignment and cost allocation data in the fleet management system.

  • Requisitioning and processing of invoices, vehicle costs, and service receipts.

  • Coordinate vehicle assignments, fuel cards, licensing, maintenance, repairs, and onboarding of drivers.

  • Serve as a liaison between field teams, leadership, supply chain, and the fleet management vendor.

  • Ensure compliance with federal (DOT), environmental, and local regulations.

  • Track vehicle demand plans, replacement cycles, and lead vehicle ordering and disposal logistics.

  • Monitor fleet utilization, analyze trends, and propose process improvements.

  • Prepare and present reports related to fleet usage, safety, and cost performance.

  • Drive safety, efficiency, and process enhancements for vehicle operations.

Required Skills & Experience:

  • 6+ years of experience in administrative, coordination, or operations support roles.

  • Strong organizational and multitasking capabilities.

  • Excellent written and verbal communication skills.

  • Customer-service orientation with problem-solving mindset.

  • Proficiency in Microsoft Office; ability to learn and use fleet management systems.

  • Ability to build positive relationships across cross-functional teams.

Preferred:

  • Associate degree in Business Administration, Logistics, Accounting, or a related field.

  • Experience with fleet or asset management, especially in logistics, utilities, or construction industries.

The pay range that the employer in good faith reasonably expects to pay for this position is between $33.00 and $37.00
