Job Title: Project Coordinator

Location: Brampton, ON

Estimated Duration: 12 Months

The Opportunity:
This position is within the Enterprise Technology and Services (ETS) PMO team and reports to the Director, ETS PMO Delivery. The Senior Project Coordinator will focus on portfolio health reporting, portfolio governance, and operational activities, providing essential support to the PMO Delivery Director.

Responsibilities:
Operational Support:
• Manage the PMO SharePoint site, including access control.
• Conduct Privileged Access Reviews.
• Support onboarding and offboarding processes.
• Share onboarding documents and ensure smooth transitions.
• Develop and maintain ETS PMO-specific guidelines and training materials.
• Ensure timesheet submission and escalate non-compliance.
• Review vendor staff performance.
• Track ETS PMO training and manage access permissions.
• Lead PMO team meetings.

Portfolio Governance:
• Ensure adherence to project risk and governance processes.
• Partner with Risk & Control Governance groups.
• Provide regular risk management status reports.
• Contribute to a lessons-learned database.

Project Reporting:
• Assist with maintaining accurate project reporting.
• Generate and distribute project status updates.
• Facilitate timely updates and accurate data entry.

Must-Have Skills:
• 5+ years of experience in project reporting roles.
• Proficiency in SharePoint Management and JIRA.
• Understanding of process management principles.
• Excellent analytical skills and proficiency in Excel.

Required Soft Skills:
• Ability to collaborate with partners and PMs.
• Exceptional communication skills.
• Ability to work independently.

Nice-to-Have Skills:
• PMP certification or equivalent is a plus.
• PowerAutomation
• Portfolio governance and risk management

Education:
• Bachelor's degree is preferred.
• Relevant certifications.

Best vs. Average Candidate: Strong communication skills are key, especially the ability to liaise between technical and business teams. The candidate should be able to translate technical project details into easily understandable terms for non-technical stakeholders. They will support PMs and ensure governance of projects, updates, and reports. Effective collaboration is essential to ensure standards and requirements are met. The candidate should work well both within a team and independently.

The pay range that the employer reasonably expects to pay for this position is between CA$30.00 and CA$40.00
